Zoom Usage, AI, and Recording Policy Acknowledgment

The Academy provides Zoom Meeting lines for use by Committees, SIGs, Task Forces, and other authorized Academy volunteer groups, staff, and contractors for Academy-related meetings, events, programs, and collaboration. By using Academy of Pelvic Health Physical Therapy (“Academy”) Zoom accounts, meeting links, or virtual meeting spaces, you acknowledge and agree to the following:

  1. Meeting Recording, Transcription & Documentation Notice - Meetings hosted on Academy Zoom lines may be recorded, transcribed, summarized, or otherwise documented to support event experiences, develop on-demand continuing education content, support project continuity, operational workflows, volunteer coordination, training, and organizational record-keeping. The Academy may also utilize artificial intelligence (AI)-supported tools such as Zoom AI Companion to assist with meeting transcription, note summaries, action item tracking, task organization, and administrative follow-up by Academy representatives (e.g., Staff, Board members). Participation in Academy-hosted meetings constitutes acknowledgment of and consent to these practices.

  2. Professionalism & Code of Conduct - All participants are expected to maintain professionalism and adhere to the APTA's Code of Ethics for the Physical Therapist, organizational policies, and applicable privacy and confidentiality standards during all Academy-related meetings, communications, and virtual interactions.

  3. Confidentiality & Privacy Expectations - Participants are expected to exercise discretion when sharing information during meetings. Confidential, proprietary, protected health, patient-identifying, or otherwise sensitive information should not be disclosed unless appropriate permissions, safeguards, and legal/privacy requirements are in place. Participants should also avoid sharing personal information they would not want documented, distributed, summarized, or otherwise publicly accessible.

  4. Appropriate Use of Academy Zoom Accounts - Academy Zoom accounts and meeting spaces are intended solely for authorized Academy-related business, collaboration, educational activities, and operational purposes. Use of Academy Zoom lines for personal or non-Academy-related activities is prohibited unless expressly authorized by the Academy.

  5. Access to Meeting Materials - Meeting recordings, transcripts, notes, summaries, chat logs, action items, and related materials may be accessed by appropriate Academy staff and Board leadership for purposes of continuity, follow-up, quality improvement, compliance, governance, educational purposes, commercial purposes, and operational support. The Academy’s authorized staff and/or Board may also share meeting recordings, transcriptions, summaries, documentation, or related materials with relevant volunteers, contractors, committee members, project collaborators, or other individuals the Academy deems reasonably necessary to support Academy operations, projects, programs, initiatives, or organizational functions.

If neither line is available, please contact hello@aptapelvichealth.org with the requested date/time/duration/time zone of your meeting so that the Academy can set up your meeting on an alternative Zoom Line.
