State Rep Requirements

Staying active helps ensure that every state has consistent, engaged representation. State Reps are expected to remain involved, responsive, and connected throughout their term.

Annual Activity Requirement

⭐ Earn at Least 10 Points Each Calendar Year

To remain active, State Reps must earn at least 10 activity points each calendar year (January 1–December 31) through Regional and/or All State Rep meetings and other eligible State Rep activities.

01 Maintain Active Status

State Reps are expected to stay engaged throughout the year by participating in Regional and/or All State Rep meetings and completing other eligible State Rep activities.

Annual Participation Requirement

State Reps who do not earn the minimum 10 points in a calendar year may have their active status suspended so the Academy can appoint a representative who is able to actively serve the state.

Having an unusually busy year?

We understand that schedules and circumstances can change. If you anticipate having difficulty meeting the annual participation requirement, please communicate with your Regional Representative or the Academy as early as possible. If you moved to another state or wish to resign, please complete our Volunteer Resignation Form

02 Stay Responsive

State Reps should remain reasonably responsive to communications from their Regional Representative and the Academy.

30-Day Responsiveness Expectation

If your Regional Representative or the Academy contacts you with a request requiring a response and you do not respond for more than 30 days, the Academy may consider the position vacant.If you know you will be unavailable for an extended period, a brief advance notice is appreciated and helps us distinguish an absence from an inactive position.

03 Attend the All-State and Regional Meetings

The All-State Rep meeting and Regional meetings are an important way for State Reps to stay connected, share updates, identify local needs, and collaborate with representatives from neighboring states. All-State Rep meetings are hosted quarterly while Regional meeting cadence is decided by your Regional representative.

Meeting Participation

If a State Rep misses more than two (2) All-State Rep meetings and Regional meetings without communicating an absence or extenuating circumstances, the Academy may consider the position vacant.

Communication matters.

You do not need to attend every meeting without exception. We simply ask that you communicate when you are unable to participate.

04 Regularly Engage With Your Regional Rep

Your Regional Representative is your primary leadership contact within the State Rep network. State Reps work within their assigned region and report to their Regional Representative.

Your Regional Rep can help further orient you in your role, answer questions, share Academy updates, facilitate collaboration with other State Reps, and provide support throughout your term.

05 Keep Your Contact Information Current

State Reps are responsible for ensuring that the Academy has their current contact information on file. This is especially important if you change employers or begin using a different email address.
